Candidates

Information we collect directly from you

When you register for an account on our website, we will collect certain personal data about you in order to provide you with work-finding services. The personal data that we collect will include your name, postcode, telephone number. We will also collect additional information that you provide us with to complete your profile, such as photograph, social media address, skills and qualifications, employment history, hobbies and interests, driving licence details, the type of role you are looking for and the geographical location you wish to work in and any expected salary details you wish to provide. You may also choose to share other information with us when you upload your CV to your account, call us to make an enquiry or take part in our telephone screening process.

Information we collect from other sources

We may use companies to perform services in connection with providing you with work-finding services such as background checking and other jobs boards. In the course of providing these services, those companies may have access to your personal data and we may collect additional personal data of yours as a result of these services.

As part of the running and operation of our website, we automatically collect information from your computer or mobile device which could personally identify you from your browsing activity such as IP address, geographical location, internet service provider, information gathered to assess site visit frequency and pages visited and content viewed. Purpose of processing and lawful bases

The Company will process your personal data (which may include sensitive personal data) for the purposes of providing you with work-finding services, to manage your account and to email you about recruitment services which may include job alerts and emails about roles available which match you profile. The lawful bases we rely upon to process your personal data to enable us to offer these services to you are:

Consent

Where the Company relies on consent as the lawful basis for processing your personal data you will be provided with a Consent Form to complete and return via email. We will continue to process personal data that you have given us explicit consent to process until you instruct us not to. Legitimate Interest

Where the Company relies on Legitimate Interest as the lawful basis for processing your personal data, these legitimate interests will be to provide work-finding services including checking your identity; your right to work and qualifications, process payment and manage entitlement to certain statutory rights and benefits.

Contractual Obligation

In the course of providing you with work-finding services, your personal data may be required by law or a contractual requirement (e.g. our client may require this personal data to employ you). In this situation, we will use your personal data to verify your identity for security purposes and secure employment for you. You are obliged to provide the personal data when requested to do so - if you don’t, our ability to consider or place you as a candidate will be limited.

Sharing of your personal data

We will limit the use of your personal data to the purposes for which is was collected which may include:-

  • To provide you with work-finding services
  • To respond to your questions and comments
  • To fulfil your requests
  • To help us develop, deliver and improve our products or services, content and advertising
  • For our own internal purposes such as auditing and data analysis

The Company will only share your personal data and/or sensitive personal data with the following recipients:-

  • Recruitment consultants employed by the Company
  • Other staff employed by the Company in the course of supporting your work-finding activity
  • Other staff employed by the Company in the course of responding to queries and comments submitted
  • Bullhorn when we upload your details to our CRM software
  • Employers and clients when we shortlist you for a vacancy
  • Third party providers of jobs boards when we circulate your CV
  • Third party organisations if we conduct background checks upon an offer of employment

Data retention

The Company will retain your personal data only for as long as is necessary and if you have an online account with us, you can delete your account at any time. Different laws require us to keep different data for different periods of time.

The Conduct of Employment Agencies and Employment Businesses Regulations 2003, require us to keep work-seeker records for at least one year from (a) the date of their creation, or (b) after the date on which we last provide you with work-finding services.

We must also keep any payroll records, holiday pay, sick pay and pensions auto-enrolment records for as long as is legally required by HMRC and associated national minimum wage, social security and tax legislation.

Where the Company has obtained your consent to process your personal data, we will do so in line with our retention policy. Upon expiry of that period, the Company will seek further consent from you. Where consent is not granted, the Company will cease to process your personal data.

Your rights

Please be aware that you have a number of data protection rights. You may exercise any of these rights by sending an email to: info@maximiseit.co.uk. We will ask you to verify your identity before acting upon your request. Your rights are as follows:-

  • The right to request details of the information we have about you.

Clients

We will process personal data about you which is necessary to fulfil any contractual obligation we have with you and to help you identify candidates that might be suitable for your organisation. The personal data that we collect is usually limited to: names of contacts at your organisation, telephone numbers, email addresses. We may also hold information that someone in your organisation has provided us with. We will process your personal data for the purposes of providing you with suitable candidates and for providing you with timely and relevant marketing and sales communications.

Suppliers

We will process personal data about you to ensure that our contractual relationship can be properly managed and run smoothly, to comply with any legal requirements and to obtain goods and services from you. We will collect personal data from your organisation such as names of contacts within your organisation, email addresses and telephone numbers. We will also collect financial information such as bank details to enable us to settle invoices
